What 30 Years Supporting Professional Offices Has Taught Me About Backups:

My Experience

For three decades, I’ve helped law firms, accounting offices, billing companies, and small professional offices across several states prepare for and recover from data disasters.

I’ve seen it all: ransomware, server failures, accidental deletions, intentional deletions, malicious tampering and backups that didn’t work when they were needed most.

I started offering online, encrypted backups to my clients in 2009. Over the years, we backed up millions of client files, and never failed to recover a single one when needed. Yes, I take backup and recovery seriously.

Real Recovery Events

Ransomware Attack - A farm equipment dealer had an office employee who opened a suspicious email early in the day. Ransomware encrypted everything on his computer before he notified anyone of the problem. By then, the ransomware had also encrypted half of the company's shared files on their server. By the time we got the call, their business was crippled. The workstation was isolated and cleaned up by IT staff, and we recovered their server's previous night's backup. They were back in business in hours, the same day. Zero files lost, zero ransom paid.

Accidental Deletion - A fresh-out-of-training paralegal at a small law firm, using the computer vacated by the retiring paralegal, decided she didn't need all those "extra files on the F: drive" so she deleted them. The F: drive was the shared folder on the firm's file server... not good, right? We remotely connected to the server and restored the firm's data from hourly backups we had scheduled for them. They lost a couple of within-the-last-hour changes, but were able to continue working in the same morning.

Hardware Failure - Rural radio station with five employees, including the owner. His computer held all the company data and shared it on the network. He learned about our backup service, and hesitantly started using it (his computer was the newest in the building, so he didn't think he needed to worry about it failing). Four months later, his hard drive died. Local IT got the computer running again and we successfully recovered everything. Back in business, back on the air, in a few short hours.

Email Destruction - A small oilfield trucking company in the midwest (this is one of those "what we learned after the fact" stories). One office gal, fearing she was about to be fired (and worse) for embezzling, deleted every email in her Outlook program, including clearing the trash (who does that, huh?). She was in cahoots with the IT guy, and he bypassed the retention settings for her account in Exchange Server, so her emails were gone and she was in the clear... or so she thought. She was fired a day later and the owner asked for our help. We recovered every email from online backup, and the owner had everything he needed to move forward. The rest is history.

These are just a few examples of the many times our proactive monitoring and tested backups saved offices from costly downtime.
